This Privacy Policy applies to the StayPass mobile application (hereby referred to as the "Application"), created by StayPass (hereby referred to as the "Service Provider"). This service is provided on an "AS IS" basis.

1. Information Collection and Use

The Application may collect certain information automatically and/or with user permission when you download and use it. This information is used solely to operate, maintain, and improve the Application's features and services.

A. Information Collected Automatically

The following data is collected automatically and used for security, debugging, fraud prevention, and general usage analysis:

• IP Address: Used to prevent fraud, ensure service security, and determine general geographic regions.
• Application Usage Details: Pages visited, date and time of access, and duration of use.
• Device Information: Operating system and anonymized device identifiers.

B. User-Permissioned Data

The following data is accessed only with explicit user permission and only to enable specific Application features. This data is not collected in the background.

• Camera and Photos: Used for profile images or app-related uploads.
• Location: Used only when the user clicks the “Reached Home” button to confirm safe arrival.

Important: Camera, photos, and location data are never sold or shared for advertising or profiling purposes and are not accessed when the app is closed.

C. Role-Based User Information Collection

The Application collects personal information during account creation and usage. The type of information collected depends on the user's role within the Application. This data is used strictly for authentication, authorization, hostel management, and security purposes.

1. Student Role

When registering as a Student, the following information is collected:

• Full Name: Student identification.
• Email Address: Unique login identifier.
• Password: Securely stored in encrypted form.
• Phone Number: Communication and verification.
• Room Number: Hostel allocation and movement tracking.
• Parent/Guardian Phone Number: Emergency and safety contact.
• Department: Institutional records.

2. Administrator Role

When registering as a Hostel Administrator, the following information is collected:

• Full Name: Administrator identification.
• Email Address: Secure login and official communication.
• Password: Securely stored in encrypted form.
• Phone Number: Communication and notifications.
• Department: Administrative classification.

3. Security Guard Role

When registering as a Security Guard, the following information is collected:

• Full Name: Guard identification.
• Email Address: Login authentication.
• Password: Securely stored in encrypted form.
• Phone Number: Operational communication.
• Department: Role assignment and access control.
• Shift Schedule: Duty management and access permissions.

All role-based information is collected strictly for operational, administrative, and security purposes and is not shared with third parties except where required by law.

2. Third-Party Access and Disclosure

We use third-party services only for analytics and crash reporting. These providers access limited automatically collected data solely to perform their services and are bound by confidentiality obligations.

We do not sell, trade, or transfer personal information for marketing or advertising purposes.

3. Opt-Out Rights

You can stop all data collection by uninstalling the Application using your device’s standard uninstall process.

4. Data Retention Policy

User data is retained only while the Application is in use and for up to 90 days after the last active session, unless a longer period is required by law.

5. Children's Privacy

The Application is not intended for children under 13. Any discovered data from such users will be deleted immediately.

6. Security

Updates will be reflected by changing the "Last Updated" date. Continued use indicates acceptance of changes.
